How to perform in app business admin features

Discover Gymcatch’s core on-the-go business app features within this article.

Make sure that you log into the app with the same email address and password as you do on the Gymcatch web portal.

Once you’re logged in, if you go to the What’s on page, click on a date that has a pink line at the bottom of it and click on a session, you’ll see a big pink Manage button in the top right hand corner of your screen.

If you click on this Manage button, you’ll see that there’s three options; Cancel session, Message attendees and Manage attendees.

Cancel session

If you click Cancel session, you will be presented with a pop up where you have the option to confirm the cancellation of the session by clicking Cancel or you can click Dismiss to opt out.

If you click Cancel session and you have an auto-refund policy configured, you will then be presented with a pop-up box to check whether you want to issue an auto-refund credit to your attendees before you click Cancel and they will receive a notification if you choose to do so.

Message attendees

If you click Message attendees, you’ll be able to message all customers who are attending that session by composing your message and clicking Send.

This will send a direct message to each individual attendee and if an attendee replies, this message will be sent directly to you and not the whole group of attendees.

This is great to provide any key or last minute information to the attendees about the session.

Manage attendees

If you click Manage attendees, you’ll then see all of the customers who are booked into that session as well as whether they have paid on Gymcatch or not.

You'll also see whether any admins of the business have marked them as attended. This is separate to the check-in feature which if a customer marks themselves as checked in, this shows separately in the customer attending list in the web portal. So this attended check box is purely for admins to manually mark off who’s attended a session.

You can see an attendee count here as well showing how full the capacity is with a number displayed at the top.

If you click the Add button in the top right hand corner of your screen, you can add a new unregistered customer just in case someone has booked onto this class outside of Gymcatch or turned up unexpectedly so that you can keep your records up to date or add an existing customer.

Share button

If you click the share button in the top right hand corner of your screen when you’ve clicked into a specific session, you’re able to share the details of your session with your followers on Gymcatch. You can easily do this by clicking on this share button > With [business name] followers > compose your post > Post and your customers will receive a notification that there’s a new post within their newsfeed.

A good example of when you might use this feature is to advertise those last few spaces on a session for tonight, posting additional information about the session or advertising a completely new session.

You can also click to share your session details via SMS or click More ways to share to open up other options, such as social media platforms, that you can share details of your session to.

Newsfeed posts

If you click on the Newsfeed tab at the bottom of your screen and then click the dropdown arrow next to Pro, you will see that you have three options; Post, Invite and Pro hints.

If you click on Post, you will be able to compose a post that will be shared to your newsfeed for all your customers on Gymcatch to see.

This feature is very similar to the share with followers function within the session details page.

You can use this feature to provide additional information about your business and all your followers will receive a notification that there is a new post within their newsfeed.

An example of when you might use this feature is when you’re updating your opening hours or have introduced a new type of session.

Any newsfeed posts will include a helpful call to action button that when clicked will take the customer to your business’ calendar to book a session. Customers can also comment on any newsfeed posts as well.

If you click on Invite, you have the option to send out an invite to use Gymcatch via SMS.

If you click on Pro hints, you will see further information to help you manage your sessions on the go as a business admin.

Message individual customers

You can message individual customers by heading to the Messages tab at the bottom of your screen > click on the compose icon just to the right of the Messages heading > select the relevant provider under Fitness providers > search and select customer > compose message > Send.

Team members

Any of these features can be offered to team members and these can be customised as to which permissions you would give your team members. This can be done within the Team page on the Gymcatch web portal.
