How to create and edit packages (passes and bundles)

Packages allow you to sell session credits in bulk to customers, whether that is a fixed amount of credits as a bundle (eg. 10 sessions), access to your services for a fixed amount of time as a pass or a longer term commitment or payment plan with our memberships feature.

You can learn more about the differences between these packages or how to create a membership within our support article library, but in this article we will explain how to create a pass or bundle.

Click Create new package on the Packages page and select Pass / Bundle within the type of package you’d like to create from the top level filter.

How to create a pass / bundle

Basic details

Give your package a name. This could be as simple as stating what the pass includes, for example an Unlimited Class Pass or stating what the bundle includes, for example a 10 Class Bundle.

Tick whether you’d like your package to be used for Sessions and / or On-demand resources

You can optionally add a description of your package - There is a field later where you can add any terms and conditions of the package purchase, so you don't need to include these in the description.

Set how much you want to charge for the pass / bundle.

Package structure

If you’re creating a pass, the Customer usage cap field lets you decide whether you’d like to select No cap and create a pass with unlimited usage for a set period of time or select Add cap and set how many credits are included in the pass for the set duration.

If you’re creating a bundle, the Number of resources in this bundle field sets how many credits are included in the bundle and will become available for use post purchase.

Packages become active when they are purchased by or gifted to a customer.

They then last for the set period of time (the Pass duration when creating a pass or the Validity period when creating a bundle) and can only be used with sessions that take place within the Pass duration / Validity period.

Select the Pass duration / Validity period time frame as days, weeks, months or years and then set the Pass duration / Validity period number (i.e. how many days / weeks / months / years it will be valid for).

Multibook & sub-profiles

If you want to allow customers to book multiple places under their name with this package, then you would tick the checkbox next to Enable multibook.

Please note that once multibook has been set this cannot be disabled. We recommend only applying this setting to packages that have a usage cap.

If you want to allow your customers to use this package for their sub-profile account(s), you would make sure that the box next to Prevent use with sub-profiles is not ticked and if you want to allow customers to book themselves and their sub-profile accounts onto a session in one transaction, then you would tick the box next to Multibook AND you would make sure that the Max places bookable in a single transaction field within the session settings is increased from the default of 1.

Auto renew

You can Allow auto renew when creating a pass which will add the option for your customers to turn on the feature. When the pass reaches the end of the duration, if the auto-renew option is enabled by your customer the system will automatically purchase a new instance of the pass for them. This auto renewal is at the complete control of the customer and can be switched off at any time.

You can customise your pass / bundle by selecting a colour. The choice of colour is purely aesthetic, so select whichever is your personal preference.

Add eligible sessions

To control exactly which sessions and / or on-demand resources your package can be used for, you will need to select the corresponding tags. These will match the tags that you give to the sessions and / or on-demand resources that you want clients with this package to be able to purchase. Your package will be valid against any session which has both a matching tag and Passes / Bundles set as a valid Payment option. For more information on tags, check out our Package tags article.

You can add any terms and conditions for your pass / bundle within the Add any terms and conditions for this package field at the bottom of the page. For example, you could repeat the validity period or any other usage restrictions here for clarity.

Now with everything set, click Create pass / bundle to save this package.

Once your pass / bundle has been created

Within the Packages page, you will see a table that shows your bundles, memberships or passes, depending on the above filter selection.

You'll see that the pass / bundle you’ve just created is now displayed with a "Draft" status. Packages with "Draft" status are not visible or on sale to customers, but can be gifted and subsequently used by customers.

A package with the "Published" status is live and on sale to customers.

When you click on a selected package, you’re taken to the Details page for the package where you can review its settings, gift it to a customer, edit its settings, place or remove it from sale and delete or archive it.

Package customers

The Package customers tab is where you view a list of live or expired instances of this pass / bundle. You’ll see purchase and expiry date information, whether it was purchased or gifted and how much the customer paid (for example, if they used a discount code it would show the reduced price). You can also readily see how many credits a customer has left.

Sessions / On-demand

The Sessions / On-demand tabs are where you can check which sessions or on-demand resources this package is valid for depending on what you've configured your package to be used for.

Auto-refund sessions

The Auto-refund sessions tab will only display on Bundles that you have chosen to be automatically gifted to the customer during the auto-refund process. The calendar within this tab will identify all sessions that will be gifted this bundle if the customer cancels their space in line with your auto-refund policy.

Gift your pass / bundle

If you want to apply this package to a customer's account, perhaps to cover any payments made before joining Gymcatch or where a customer has paid outside of Gymcatch for the package, then you can gift the package to one or more customers' accounts. Place your pass / bundle on sale

When you are ready, simply click the Place on sale button on the Package management page to place your pass / bundle on sale to your customers. You can come back to the Packages page at any time to access and edit your package if need be.

Please note that you're not currently able to limit the number of times a pass or bundle can be purchased by a customer. This would either require manual monitoring where the package is removed from sale once the required number is reached or the use of a discount code for limiting the redemption of special offers.

Next time you create a package, you’ll also notice that there is a helpful Copy an existing package button at the top of the package create page that you can use to create similar packages in the future.
